What happens to your data if you cancel your POS software? It’s not a question most retailers think to ask when they’re signing up for new software. But it’s one of the most important ones, one you should ask.

If you cancel your POS software subscription, what happens to your customer records? Your full sales history? Your product catalogue? Your supplier information? Years of loyalty data?

This matters because your customer data is one of the most valuable things in your business. It tells you who your best customers are, what they buy, how often they visit, and what keeps them coming back. If you lose it — or can’t access it — when you switch platforms, you’re starting from scratch.

The reality across some popular platforms isn’t reassuring. Reviews and public complaints document situations where:

  • Access to data was cut off immediately upon cancellation, with no export window
  • Data was exported in formats that couldn’t be imported elsewhere without expensive conversion work
  • Customers were billed for months after cancellation because the cancellation process wasn’t completed correctly
  • Exit fees were charged that weren’t clearly explained at sign-up

Some platforms also have auto-renewing contracts — if you don’t cancel within a specific window before the renewal date, you’re committed for another year.

Before committing to any POS software, ask these questions and get the answers in writing:

  • Can I export all my data — customers, products, sales history — at any time?
  • What format does the export come in?
  • What happens to my access if I cancel?
  • Is there a minimum notice period to cancel?
  • Does the contract auto-renew, and when do I need to notify you to stop it?
  • Are there any exit or termination fees?

A software company with nothing to hide will answer all of these questions clearly and without hesitation.
